Processing of personal data
in accordance with Articles 13, 14 and 21 of the General Data Protection Regulation (GDPR)

The Office for Youth and Family at the Bad Tölz-Wolfratshausen District Office is organizing the "Volunteer Day" on 25.11.2024 for volunteers from the areas of children, youth and family. For the organization and implementation of this event, personal data is processed and photos and video recordings are made, which are also used for public relations work.

4. purposes and legal bases of data processing

The Office for Youth and Family offers services for the general promotion of upbringing in the family. These services are intended to support and strengthen all those involved in the upbringing of children and young people. These are tasks of a district which it is supposed to fulfill in accordance with Art. 51 of the District Code (LKrO). Data processing is permitted if it is necessary for the performance of a task incumbent on the controller (Art. 6 para. 1 subpara. 1 letters c and e GDPR, Art. 4 para. 1 sentence 1 BayDSG). If the data processing is carried out voluntarily on the basis of consent, Art. 6 para. 1 subpara. 1 letter a GDPR applies as the legal basis.

5. categories of personal data that are processed

Data is processed from persons who work full-time or on a voluntary basis in the field of family education and support, from interested persons, from persons working in organizations, clubs and associations, from representatives of the press and political representatives as well as members of local authorities and representatives of public authorities. The personal data used includes names, contact details and addresses, telephone numbers and email addresses, details of professional activities, voluntary work or organizational affiliation, as well as sound and image recordings.

6. recipients or categories of recipients of the personal data

Employees of the district administration who are involved in the organization and running of the event have access to the collected data. If tasks are assigned to third parties for completion, these processors or cooperation partners are given access to the data held. The collected data is used to inform the general public as part of press and public relations work. For this purpose, the district makes use of the services of various media service providers.

7. transfer of personal data to a third country

The use of media service providers makes it possible to pass on and publish data worldwide.

8. duration of the storage of personal data

The retention period is based on the general requirements of the standardized file plan for Bavarian municipalities and district offices (EAPlAufbew). A 5-year retention period is provided for under AplZ (file plan code) 0402 (public relations). A 10-year retention period applies to official publications (AplZ 0410). If the data is processed on the basis of consent, it is stored at the longest until the consent is withdrawn by the data subject.

9. rights of data subjects

According to the General Data Protection Regulation, data subjects have the following rights: If their personal data is processed, data subjects have the right to obtain information about the personal data stored about them (Art. 15 GDPR). If incorrect personal data is processed, data subjects have the right to rectification (Art. 16 GDPR). If the legal requirements are met, data subjects can request the erasure or restriction of processing and object to processing (Art. 17, 18 and 21 GDPR). If they have consented to data processing or a contract for data processing exists and the data agreement is carried out using automated procedures, data subjects may have a right to data portability (Art. 20 GDPR). If the above-mentioned rights are exercised, the public body will check whether the legal requirements for this are met.

10. right to withdraw consent

If the processing of data is based on consent, data subjects are entitled to withdraw their consent to the use of their personal data at any time in accordance with Art. 7 GDPR. It should be noted that the revocation is only effective for the future. This does not affect processing that took place before consent was withdrawn.

There is no legal obligation to provide personal data.
